Understanding Bulk Editing in Canva

Definition and Purpose


Bulk editing is the art of making simultaneous modifications to multiple design elements, a real game-changer in the design landscape. It's more than a time-saving tool; it's a catalyst for enhancing your creative process. By comprehending the intricacies of bulk editing, you empower yourself to make consistent changes across various components of your project efficiently.


Let's dive into the details, unraveling the potential of Canva's bulk editing tools and discovering how they can elevate your design projects to new heights!

 

Step-by-Step Guide

 

Step 1:

Select a template or design you want to use for bulk creation.


Make sure there is a separate Textbox for each piece of information you need. In this example, we have three separate Textboxes:

  • Heading

  • Sub-Heading

  • Author


Note* Your Textboxes DO NOT need to have any specific text written inside them, although it may help for organizational purposes.

 

Step 2:

From the editor side panel, select Apps.


Under More from Canva, select Bulk create.


 

Step 3:

There are two options for adding your data. Let's go over how to choose the right one:


Option 1: Enter Data Manually

  1. Delete the sample data by clicking on Clear table in the bottom left-hand corner of the table.

  2. Enter or paste your data into the table.

  3. If you need to add more columns or rows, click on Add text or Add image towards the top left-hand corner of the table.

  4. Click Accept to proceed.




Option 2: Upload CSV


CSV (Comma-Separated Values) files are text-based documents that store data in a tabular format. Typically created using spreadsheet applications such as Microsoft Excel, Google Sheets, or Numbers, CSV files make it easy to organize and save data in a structured table.


To save or convert a spreadsheet into a CSV file:

Open the spreadsheet with the data you want to use for Bulk create. If you don’t have a spreadsheet yet, you can create one using the programs mentioned above.


Check that the data is in the correct order and in clearly labeled columns.


If you’re using Google Sheets, click File and then Download. If you’re using Microsoft Excel, click File and then Save As. If you’re using Numbers, click File and then Export To….



Pick the .csv file option as the document type.


To upload a CSV file to Canva:

  1. From the Bulk Create tab on the editor side panel, click Upload CSV.

  2. Select the CSV file with the data for Bulk create.


 

Step 4:

After adding the data, the next step is connecting each data set to the corresponding elements on the design.


For this example, we need to connect the “Heading,” "Subheading" and “Author” elements to the correct columns from the data table.


Connecting elements to data sets:


  1. On your design, right-click on the Element (Textbox or Image Frame) you want to connect.

  2. Click Assign data.

  3. Select the data field you want to connect the element to.

  4. Repeat until you’ve connected all columns. Note* You can only connect one data field per element, up to 60 elements total.



After all your data fields are connected, it should have checkmarks on each field, as shown below. Click Continue to proceed, then Generate!
